The Project

Multimatic selected Illumiti to assist with the implementation of their SAP Business All-in-One solution, to support business operations and compliance, employing an integrated, scalable application. This is their story.

The Client

Toronto-based Multimatic is a privately-held supplier of components, systems and engineering services to the global automotive industry. With manufacturing operations and engineering facilities in over ten countries, Multimatic is dedicated to providing innovative solutions to its customers in the major automotive markets around the world.

The Business Situation

As a growing supplier to the automotive industry, Multimatic has increasingly expanded its operations internationally in recent years. What started as a Canadian company, has now grown into a global enterprise with manufacturing operations and engineering facilities in North America, Europe, Asia and Australia, as well as alliance relationships with partners around the world. To be better able to handle its far reaching operational and reporting requirements, Multimatic’s management team decided the time was right for a new ERP system.

Why SAP

The Implementation and Results

Through careful planning and collaboration with Illumiti followed by a very intensive, focused deployment phase, Multimatic’s SAP implementation was completed on time and under budget with little or no disruption to operations. As part of the All-in-One solution, Multimatic chose to implement the following modules: FICO, Production Planning, Materials Management, Sales Distribution, and Plant Maintenance.

Capstone Mining

Capstone Mining Corp. is a Canadian base metals company with three producing copper mines. The company acquired the Pinto Valley mine in Arizona and needed to move it quickly onto a new enterprise resource planning (ERP) software system.

Capstone looked to the SAP® Business All-in-One for Mining solution and partner Illumiti for help and implemented the new software in just four months – on time and on budget. Eldorado Gold

Eldorado Gold Corporation is a gold producer active in exploration and development in Brazil, China, Greece, Turkey and surrounding regions. Their goal is to produce over 1 million ounces of gold annually by 2013. As one of the lowest cost gold producers – one with a strong balance sheet and no hedge positions – they are well positioned to grow in value as they create and pursue new opportunities in gold and other resources.

The Business Situation
Eldorado Gold Corporation has defined a project objective to significantly improve their information systems structure by replacing their legacy systems. The implementation strategy was to quickly replace and enhance existing business processes by taking advantage of SAP® Business All-in-One’s best practices.

Eldorado Gold had many disparate legacy systems that could no longer cope with their growing operational requirements. Their systems required a lot of contractor support and annual IT support costs were very high. Eldorado wanted to have one global ERP system standard that would meet their global operational requirements. Specifically, they needed a system that could handle multi-language and multi-currency requirements as well as other localization related requirements such as regulatory compliance for operations in Turkey and in Brazil.

The Solution
Eldorado Gold selected SAP® Business All-in-One for its global operations, and Illumiti as its solution implementation partner. Illumiti implemented a working solution, including two Turkish mine sites, a regional headquarters in Ankara and the corporate headquarters in Vancouver, British Columbia—which went live in two phases within a 10-month period.
The phase I implementation covered Eldorado Gold’s Turkish operations and included an operational mine site (Kisladag), a mine site under development (Efemcukuru) and the regional head office in Ankara. From a business process perspective, the scope for phase I included Financials, Procurement, Inventory management, Plant maintenance, Human Resources, Payroll and Business Intelligence.

The phase II implementation focused on Eldorado Gold’s corporate head office in Vancouver, British Columbia. The initial scope included Financials, with a follow-up phase to implement Human Resources and Business Intelligence.

To maximize the benefits of the new system and stay ahead of the game, Eldorado Gold modified its business processes to take advantage of SAP®’s best practices. One of the key related activities was data analysis and cleansing, enabling the implementation team to ensure that the solution has a consistent global data model, with data being captured at source within each operational process. The project also included specialized warehouse analysis, driving process and layout improvements.

Lionbridge

Lionbridge Technologies, Inc. (NASDAQ: LIOX) is the leading provider of language, development and testing services that enable clients to create, release, manage and maintain their technology applications and Web content globally. Lionbridge combines global onshore, near shore and off shore resources with proven program management methodologies to serve as an outsource partner throughout a clients product and content lifecycle – from development to globalization, testing and maintenance.

The Business Situation
As a key element of its growth initiatives, Lionbridge had developed a new offering through its Global Sourcing and Search (GSS) business unit to help global online brands improve the quality of the online experience by optimizing the relevance of local search using human assessors. To enable this Lionbridge needed to leverage their extensive network of resources around the world along with an ability to scale up or down on demand.

The business is high-volume and very transaction intensive:

  • A high volume of candidates needed to be managed on a weekly basis.
  • Once screened and on-boarded across 100 countries, more than 4,000 Assessors performed a large number of transactions each month, resulting in 120,000 data points to be validated.
  • The on-boarding process required intensive online communication.

This entailed a high degree of manual intervention creating an un–scalable environment that could not sustain the rapid growth Lionbridge’s GSS business unit was going through.

The Solution
Lionbridge engaged Illumiti initially to conduct a Business Effectiveness Study, uncovering the key areas of automation, standardization and simplification that would be required by an SAP® (or other ERP) solution to drive business value. The scope of the Business Effectiveness Study included the entire company—not only the GSS business unit—to optimize the return on investment and ensure that the system would be a true enabler to the company, serving all of its different business units.

The study showed that SAP® Business All-in-One is a very strong fit for Lionbridge, leveraging the end to end integration of eRecruiting, through Procurement, Supplier Relationship Management (with Supplier Self Service), project profitability view, and automated billing and cost recovery. This solution is highly suited to Lionbridge’s core Localization Business as well as its high growth GSS business.

Given limited business resource availability and tight budgets, Illumiti assembled an expert consulting team to implement a very broad functional scope (see SAP module list below) with minimal business disruption for this global business unit, spanning 3 offices in two countries and 8 time zones. Despite the functional and process complexity, the team successfully implemented the system and rolled it out within a 5 1/2 month period. Illumiti continues to provide Application Maintenance and Enhancement Services (AMES) to Lionbridge with approximately two full-time-equivalents (FTEs) covering the full scope of the SAP footprint.

The Business Situation
As part of its strategy of differentiation through high-quality customer service, The MI Group sought to provide its clients with a superior customer experience level, including advanced web -based self-service reporting. While the company had previously made some standard reports available on-line, it realized a need for enabling clients to tailor both reporting formats and the information presented to their specific, dynamically changing needs.   • A new ReloWeb® portal GUI, redesigned by a specialist web design firm within the constraints of SAP®’s Enterprise Portal product.
  • An implementation of SAP® Business Objects InfoView to present the Standard Reports—integrated into the Portal and providing drill-down functionality based upon the user’s context and authorization level.

A Report Builder function, integrated with Crystal Reports and SAP® Portal, enabling end users to customize standard reports to their needs by adding and/or removing data fields.

  • Ability to save custom reports for future use and to export them into MS Excel.

Gourmet Settings improves operational efficiency and customer service by implementing SAP® Business One

Since its founding in 1994, Gourmet Settings has been partnering with retailers to bring design-driven solutions to the table. It is their great people, their meticulous methodology, and their pursuit of innovative solutions, manufacturing and packaging processes that sets them apart. Gourmet Settings works with retailers in Canada, the US, Mexico, the UK, France and Taiwan. It is owned by President & CEO Hildy Abrams.

The Business Situation
Having successfully grown its business for several years, Gourmet Settings (GS) was burdened by the limitations of a business accounting system that could no longer support its needs. With business entities in both the US and Canada—requiring the ability to deal with different currencies and regulatory requirements—GS was obliged to deploy two separate implementations of its legacy system, resulting in extensive manual consolidation activities at year-end.

Continued business growth, relationships with business partners across the globe, and a drive for more efficient operations all drove GS to seek an integrated solution that would enable it to leverage a single implementation and database across its entire operation, eliminating non-value added administrative tasks. GS further sought to reduce the number of IT components from different vendors, and the associated integration effort required to make these separate components work together. Moreover, GS wanted improved flexibility in the tracking and reporting of business performance.

The Solution
Illumiti provided GS with a working SAP® Business One solution, including Financials, Production, a third-party warehouse interface, and international EDI transactions, implemented via add-on.

The solution’s G/L and financial transactions cater to GS’s multicurrency business environment, and provide automated support for Bills of Material (BOMs), Production Orders, Receipts from Production, Purchasing, Payments, Distribution and Warehousing. Moreover, the Financial Management module in SAP® Business One enables GS to perform project accounting as well as expense allocation between projects—supporting GS’s need to control costs at the customer project level, as well as the need to accurately present eligible R&D costs for SR&ED (Canadian government) grants.

A key component of the GS business model, sales-driven allowances are appropriately handled within SAP® Business One, enabling GS to benefit from accurate customer-profitability figures for each individual customer.

Another key capability implemented by GS is customization of documents for optimal communication with third-party warehouses. In addition, GS performs Logistics reporting (e.g. order tracking), Sales reporting with item-level drilldowns, and easy wizard-based generation of delivery documents from orders; invoices from delivery documents, etc.

SAP® Business One provides GS with a comprehensive suite of functions to support future business growth. GS plans to activate MRP and other available functionality in future implementation phases.

Mul-T-Lock Ltd. is a worldwide leader in developing, manufacturing and marketing High Security products for institutional, commercial, industrial, residential and automotive applications. Their product range includes mechanical cylinders, locks and padlocks, electromechanical locking systems and automatic assembly and key-cutting machines. The company is fully owned by ASSA ABLOY, the world’s leading manufacturer and supplier of locking solutions.

The Business Situation
With its legacy business application, Mul-T-Lock Canada was forced to manually consolidate information originating from different databases located on separate application servers in order to obtain a view of overall business performance. This process was time-consuming and effort-intensive, resulting in management reports being based on information that was at least a week old. This made it impossible to obtain accurate information about stock availability, customer credit levels and other details. Mul-T-Lock decided to implement SAP® Business One in order to establish a single application and database covering the entire business in Canada, providing real-time transactional information, queries and business performance reports. In addition, Mul-T-Lock Canada valued the ability to link its implementation with the SAP® R3 system implemented at the head office, located in Israel, e.g. for providing Sales related information in a near real-time, automated fashion.

The Solution
Illumiti provided Mul-T-Lock with a working SAP® Business One solution, including Financials, Inventory and Material Requirements Planning (MRP), which went live within a 3.5-month timeframe. Key elements of the solution are highlighted below.

  • Implementation of best practice processes: Mul-T-Lock employees used to ship items first and input production orders later. As part of the implementation, this was changed so that shipments were performed against valid production orders and inventory could therefore be accurately allocated and tracked.
  • Change management activities: Significant change in existing practices is bound to generate some level of resistance. The implementation project included the necessary communication and training to ensure that both employees and the Mul-T-Lock head office would understand the need for change and buy into the new best practice processes.
  • Migration of current business data from the two legacy system implementations into Business One: The Business One data import facility was flexible and easy to use. Mul-TLock also used Business One’s customization abilities to change or remove certain fields and to add their own custom fields, e.g. to support a specific method they use in Sales forecasting.
  • New real-time queries and management reports: Sales and gross-margin by territory; buying patterns & trends; 360⁰ customer views.
  • Customer profiling: Ability to drill down into customer information, view buying patterns and assess customer value based on historical transactions and future potential.
  • Inventory visibility: SAP® Business One now offers visibility of Mul-T-Lock’s entire inventory, whether it be in on order, in transit from the factory or in their various warehouses.
